Advance Registration. You may register online or by mail beginning the week of Nov. 13 (subject to change).

On-Site Registration. We strongly recommend pre-registering, but if you miss advance registration, you will be able to register on site at the MVC. You will, however, be able to register online before you arrive on site, as online registration will remain open throughout the duration of the live conference.

All major credit cards (Visa, MasterCard, Discover, and American Express) are accepted, as well as checks (mail or on site only) and cash (on site only). Payment is due at the time of registration.

We are able to keep our registration prices low by encouraging our 6,000+ attendees to self-register online, thus freeing our staff to focus on high-level planning and preparation. In rare instances, we may at our discretion issue an invoice or purchase order upon request, but in the vast majority of cases, we cannot accommodate this request.

If your organization requires prior approval for payment, please refer to the registration and hands-on lab fees and create your own purchase order. Note there are no service fees or taxes in addition to the posted registration rates.

In-Person MVC includes access to:

  • all live sessions on day(s) you select
  • live Exhibit Hall on day(s) you select
  • workshops and labs (for an additional fee)
  • special events and activities on the day(s) you attend, including the Exhibit Hall Happy Hour
  • on-site program hard copy and/or mobile app
  • flash drive of and online access to Conference proceedings

Virtual MVC Only includes 90 days of online access to:

  • all virtual sessions
  • virtual Exhibit Hall
  • mobile app
  • online Conference proceedings

Hybrid MVC includes access to:

  • everything listed in the In-Person and Virtual Only sections above

Special Program Only includes:

  • admission to and materials for selected program (pending availability)

Exhibit Hall Visitor's Pass

  • Exhibit Hall only, on day(s) purchased

Providing your cell phone number allows us to send login verification codes by text message as well as email, giving you more flexibility in how you sign in to the virtual platform. It is not required, so if you do not provide this, these codes will be sent via email only.

Please note, OVMA will NEVER release your cell phone to third parties, nor will it be made available to exhibitors who scan your badge in the Exhibit Hall.

When you register for the MVC, you will need to acknowledge and accept the following terms and conditions:

Attendee Cancellation Policy. When personal or professional circumstances prevent a pre-registered individual from attending the in-person and/or virtual portions of the Conference, OVMA will refund the Conference registration fee(s), less 10%. A written refund request must be received no later than seven days after the last day of the Conference (March 1, 2024 at 12:00 p.m. ET.) Refunds will NOT be given if the registrant checked in and/or printed a badge on site at the MVC or logged in to the Virtual Platform prior to their refund request. // Registration Types. No fee will be charged if the attendee chooses to convert their in-person registration to virtual, or vice versa. // Labs & Events. Refunds will be granted for specialty programs, less 10% of fees paid, providing the participant’s space is filled by another attendee.

Continuing Education. Attendee is responsible for checking with their licensing board/certification body to determine if the Virtual MVC is approved for CE credit.

Public Health Emergencies. In the event state or local health orders prevent the live MVC from occurring, pre-registered attendees will receive a full refund.

Consent to be Photographed. Registration for the Midwest Veterinary Conference and attendance at any events, educational sessions and/or wet labs held in conjunction with the MVC constitutes an agreement by the registrant to OVMA’s use and distribution of his/her image or voice in photographs, videotapes, electronic reproductions and audiotapes of such events and activities.

Shared Content. The OVMA may use content you share in relation to the MVC in future promotional materials, including but not limited to social media posts, photos, and comments.

Privacy Disclosure. The OVMA will not release your contact information to non-exhibiting companies. Please be aware that the contact information you provide will be encoded into your attendee badge and/or virtual attendee profile and may be obtained by Exhibitors.

Hands-On Labs Policy. By registering for a Hands-On Lab, Registrant acknowledges and agrees that some labs involve working with live animals, cadavers, specimens, equipment and other unique learning materials which may expose the registrant to a risk of injury or disease in the same manner as a veterinary professional would be exposed to these risks in carrying out the same or similar procedures in a clinical setting. The registrant, by registering for these Hands-On Labs and completing this registration form, agrees to assume this risk and hereby waives and releases the OVMA, any faculty, and other participants from any and all damage or injury arising out of or related to registrant’s participation in the Hands-On Lab.

Virtual Platform Access. Only registered attendees are permitted to access the MVC Virtual Platform and claim/be verified for continuing education (CE) credit. Each access code is limited to one simultaneous device sign-in. Registrants agree they will not share, distribute, record, or sell their individual access code, speaker videos, and/or conference proceedings to unregistered individuals or companies. OVMA is not responsible for attendee technology and/or equipment failures that prevent access to the Virtual Platform.

Yes, an email address is required to register online. Furthermore, it must be a unique email address that is not used by or shared with anyone else affiliated with OVMA (e.g., members, exhibitors, past attendees, etc).

If you do not have an email address, do not wish to share your email address, and/or share an email address with someone else, please create a new account for free on Gmail, Yahoo, Hotmail, or any other email provider. Otherwise, you will not be able to register online.

OVMA Members & Prior Attendees. If you are already in our database, the registration system will pre-populate your contact information, preferences, linked contacts, and membership status IF AND ONLY IF you use the email address you provided OVMA in the past. If you cannot remember what email we have on file, or you would like to change it, please contact us PRIOR TO beginning your registration.

New Attendees. You may use any email address you wish; it need not be associated with your company or organization. This will be the address that is linked to your permanent record, so please be sure to double check spelling and use an email that you check regularly.

No. Each individual must have his/her own unique email address in order to register online. Please ask your hospital to provide an email address just for you, or create a free email account on Google, Yahoo, or any other service provider before registering.

Because it is possible for different individuals to have the same name and even the same mailing address, our system identifies registrants by their email addresses, which are typically used by only one person. This ensures the correct record is linked to the correct person and allows each registrant access to his/her own event history, membership status, and contact information.

Yes. On the first page of registration (Attendee Information), provide the attendee's details and check the box labeled "Check here if you are registering on behalf of the above individual."

In the fields that appear after checking this box, enter your name and email address*; this allows you to receive all email correspondence and access to the registration once it is complete. Click Next to continue, and complete the subsequent pages using the attendee's information.

*Be advised, this is the ONLY place you should provide YOUR information within the registration. If you enter your name or email under Attendee Information or on the subsequent pages, the registration (including the attendee badge) AND individual's permanent record may be corrupted.

Absolutely! On the "OVMA Membership & Registration Category" page, select the appropriate membership type from the options shown. (These are based on your previous selections and/or your current membership type.) The registration fees will automatically update to the member price.

If you're not sure which member category you're eligible for, visit the OVMA website for more information. Please note, membership is only available to veterinarians and veterinary students.

On the Session & Event Selection page, check the boxes next to the sessions, hands-on labs, and/or events you would like to sign up for. To remove, simply uncheck the box.

If an event has already reached capacity, select the "Add to Waitlist" box. If a spot opens up, you will automatically receive a notification email with instructions on how to add it to your registration. Be advised, you will have a limited amount of time to claim your spot before the next person on the list is notified, so be sure to check your email regularly.

It doesn't! Online registration will be open throughout the live MVC, so you can register online before you leave home and proceed directly to the badge printing station upon arrival.

Mail Registration

No, an email address is not required, UNLESS any of the following apply:

  • You are registering for the hybrid or virtual MVC. A unique email address is required to log in to the Virtual Platform.
  • You would like to use the mobile app. You will not be able to take advantage of all features (such as personalizing your schedule and accessing session documents) without an email linked to your registration.
  • You want to be able to edit your schedule after registration. Supplying an email address allows you to log in and modify your registration later.
  • You would like to receive a confirmation email once your registration is processed. This email contains your payment receipt and schedule, as well as important conference information.

Yes, please instruct each attendee to fill out their own registration form. However, you need to supply your payment information only once, as long as all forms are sent together.

If an event you signed up for is already full, we will automatically add you to the waiting list when we process your registration. Please refer to your confirmation email* to find out whether you were placed in the lab or on the waitlist.

*Please note, you will only receive a confirmation email if you provide a unique email address on your registration form. If you do not, you may contact us to confirm placement.

The prices for mail registration are slightly higher because processing these registrations requires our staff to enter them into the system manually. Therefore, we offer a discounted price as incentive to register online, allowing our staff to focus on high-level planning and prepration.

Group Registration

Online. The process for group registration is the same as individual registration, as described above, but when you get to the Registration Summary page, click the "Add Person" link. Repeat the process as many times as needed.

Note: If you are registering for other people but not attending yourself, be sure to check the "Registering on behalf of this person" box on the first page of registration (Attendee Information), then add your name and email address. To prevent corrupting a staff member's registration or permanent record, do not put your information anywhere else.

By Mail. Please fill out a form for each individual attendee. You may make copies of the form as needed, or download a PDF on the Registration Information page. Payment need only be included once, as long as all forms are mailed together.

On-Site Registration

Yes, in-person registration will be open during these hours:

  • Wednesday, Feb. 21: 5 to 6:30 p.m.
  • Thursday, Feb. 22: 7 a.m. to 6 p.m.
  • Friday, Feb. 23: 7 a.m. to 6 p.m.
  • Saturday, Feb. 24: 7 a.m. to 5 p.m.

Please be aware that downtown Columbus is busy in the morning, and multiple events occur at the GCCC simultaneously. Also keep in mind that registration lines are the longest first thing in the morning. Be sure to allow plenty of time to park*, navigate the GCCC, register, and find your first session.

*You can save time by reserving a parking spot in advance. See the Travel & Hotels page for additional details.

It depends on a variety of factors, including whether the program is sold out, transportation is provided, and/or additional equipment or supplies need to be ordered in advance.

We strongly encourge you to pre-register for any special programs you wish to attend. However, if you miss the deadline, you can contact us to find out if you will be able to register on site for the program you'd like to attend.

Student Registration

Yes, veterinary, technician, and pre-veterinary students are most welcome to attend. You are not required to provide proof of your student status.

No. While you do receive free registration as a student member, you need to self-register online in advance or on site in person.

Remember, you MUST use the email address you provided OVMA when you joined; otherwise, you will not be able to access complimentary member registration.

The cost for a full conference pass is $0 for OVMA Student* and SCNAVTA members and $35-$45 for non-members (depending on when you register).

Please note, student pricing is not available for mail/fax registrations. To get the student price, you must register online.

*Remember, you must use the email address you provided OVMA when you joined; otherwise, you will not be able to access complimentary registration.

OVMA Membership for Pre-Vet & Veterinary Students. Students who are enrolled in or have been accepted into an accredited college of veterinary medicine are eligible to become an OVMA Student Member and take advantage of complimentary MVC registration for the duration of their veterinary education. Please visit the OVMA Student Membership page for more information. If eligible, you may join via the OVMA website or during the online MVC registration process.

SCNAVTA membership for technician students. To learn more about membership in the student chapter of the National Association of Veterinary Technicians in America (SCNAVTA), please visit the NAVTA website.

Due to the interactive nature of hands-on labs and workshops, these programs are designed for specific attendee types, based on the training and education those individiuals receive, and therefore may be restricted to specific audiences.

Please read the lab descriptions carefully to determine if the subject matter is appropriate; if so, you may contact OVMA to request an override. Keep in mind, however, that the cancellation and refund policy applies even if you change your mind or find that the material does not meet your level of expertise.

You will receive an email confirmation immediately upon completing your registration.

However, OVMA does NOT mail hard-copy confirmation packets to students in advance, so you will need to pick up your badge on site. Additional information is included in your confirmation email and the event reminder email, sent a few days prior to the MVC.

Refer to your confirmation email for instructions on canceling your registration. Please submit a cancelation even if you received a complimentary registration. Non-member student attendees will receive a refund of 90% of their registration fee.

Session & Event Selection

Attendees are strongly encouraged to select the sessions they plan to attend, for the following reasons:

  • Allows OVMA to assign rooms and seating to accommodate all attendees.
  • Automatically populates your schedule in the MVC mobile app.
  • Ensures you have a record for future reference and if you are audited by the state licensing board in the future (your schedule will be printed on your CE certificate and included in your confirmation email).

Although not required for sessions, most hands-on labs and special events do require advance registration due to limited capacities and additional fees.

You can edit your selections by logging in to your online account. You may also edit your schedule in the MVC mobile app, and all changes you make there will be synced with your permanent record. Instructions can be found in your confirmation email.

Registration Confirmation

All attendees who register online and those who provide a unique email address on their registration form will receive a confirmation email once their registration is processed. If registering online, please check your email address for typos before proceeding; if registering by mail, please ensure your handwriting is legible.

If you do not receive a confirmation email, first check your junk mail folder. If you don't find anything there, you may contact us to confirm your email address and request the email to be resent.

Packets will be mailed to advance registrants approximately two weeks prior to the MVC. If you register after the advance cutoff, you may pick up your badge on site.

Please note, we do NOT mail packets to student registrants, regardless of when they register.

Each person will receive an individual confirmation by e-mail (if a unique e-mail address for each registrant is provided). Additionally, if you register during advance, each attendee will receive their own confirmation packet by postal mail.

Attendees who do not receive their packets in advance may pick up their badge on site at the self-serve badge printing kiosk. There is no need to notify OVMA.

Please note, we do not mail out student packets in advance. All students may pick up their badges on site.

Changes, Cancellations, & Transfers

You may modify your registration 24/7 via the online registration system. Please see your confirmation email for login instructions. If you did not provide an email address during registration, please contact us to add an email address and request your confirmation email.

Modifying Your Registration

  1. Click here to go to the registration site, then click the "Log In" button.
  2. Enter the name and email address you registered with, then check your email and/or text messages* for a six-digit verification code. Return to the login page and enter the code.
  3. Once logged in, click the "Modify Registration" button under the "Attendee Registration Actions" header.
  4. Follow the prompts to make the required changes.
    • Editing your badge: Update your first/last name and individual type on Page 1 (Begin Registration). Update your prefix, company, and location on Page 2 (Contact Information > Create Your Badge)
    • Changing your mailing address: On Page 2 (Contact Information) under the "Preferred Contact Methods" header. Be sure to select your primary address.
    • Editing Your Schedule: Click next until you get to Page 4 (Session & Event Selection). Click "Select" next to the sessions you want to add and "Deselect" next to the sessions you want to remove.
  5. Keep clicking "Next" until you get to the payment page, then click "Submit" to save your changes. If you do not complete this step, your changes will NOT be submitted.

Adding Another Attendee to Your Registration

Follow steps 1 and 2 above to log in. On step 3, click on "Add Group Member" and follow the prompts to register someone else and submit payment. Note: Each attendee must have a unique email address.

*If you provided your mobile phone number during registration.

You can update your schedule in the mobile app, up until the session's end date/time.

When personal or professional circumstances prevent a pre-registered individual from attending the Midwest Veterinary Conference, the OVMA will refund a portion of registration fees under certain circumstances. Special Accommodations

The MVC requires documentation for individuals bringing service animals.

Per the Americans with Disabilities Act and Ohio law, disabled individuals are permitted to bring assistance animals into most public places. These regulations include the following provisions:

  • Disabled means blind, hearing-impaired, deaf, and/or mobility impaired
  • Assistance animal means any animal that aids someone who has a physical or mental impairment which substantially limits one or more major life activities (e.g., walking, seeing, hearing)
  • Assistance dogs may be brought into public places, provided that:
    • The dog may not occupy a seat on public transportation
    • The dog must be leashed
    • Any dog in training to become an assistance animal should be covered by liability insurance
  • You cannot be charged an additional fee for your service animal, but you can be held financially liable for any damages it causes.
  • Public facilities are allowed to ask if your animal is a service animal and which tasks it is trained to perform. They cannot, however, ask detailed questions about your disability or animal.
  • Public facilities are permitted ask you and your service animal to leave if it threatens the health or safety of other patrons.
  • Keep in mind that neither federal nor Ohio law recognizes emotional support animals as "assistance animals," which means that public facilities are not required to admit them. We strongly encourage you to contact the convention center and your hotel in advance to find out their policies on ESAs.

In-Person Attendees. Attendees who need special assistance or services in accordance with the Americans with Disabilities Act are asked to notify the OVMA office at least two weeks prior to the Conference by providing a written description of how we may accommodate you. There is space available for this request on both the online and paper registration forms.

Virtual Attendees. If you require captions in order to participate in the Virtual MVC, please complete the ADA Special Accommodations section requesting this service AND select the virtual sessions you will be watching.
